Buyer Privacy Notice
Effective date: May 20, 2026
This notice supplements our general Privacy Policy and explains how Vehixo Digital Private Limited ("we", operating ERP Hunter) handles personal and company data of Buyers — enterprises whose implementation partner has invited them into a private ERP Hunter workspace to run discovery, draft RFPs, and evaluate bids.
1. What we collect from Buyers
- Account data: name, work email, role, organization name.
- Project / RFP inputs: industry, company size, geography, modules, timeline, budget range, functional and technical requirements, integration needs.
- Documents: any files you or your partner attach to the workspace (process diagrams, current-state notes).
- Communications: messages exchanged with your partner inside the workspace, comments on bids, notes from your steering committee.
2. Who can see your data
ERP Hunter is a partner-led private workspace, not a public marketplace. Your data is visible only to:
- The implementation partner who invited you (and the members of their workspace they have authorised).
- Members of your own organisation you choose to invite.
- ERP Hunter staff for support, security, and platform integrity — under strict access controls.
Your data is never shared with other implementation partners, vendors, or third parties without your explicit consent. There is no public partner directory that can see your RFPs.
3. How we use your data
- To run guided discovery and draft a defensible RFP using AI assistance.
- To collaborate with your implementation partner inside the shared workspace.
- To receive, compare, and evaluate bids submitted by your partner (and, if you choose, additional partners you invite).
- To provide aggregated, de-identified product analytics.
- To send transactional notifications (new bid, deadline, message, status change).
4. AI-assisted RFP drafting
When you use AI features, your RFP inputs are sent to our AI providers (e.g., OpenAI, Google) under enterprise contracts that prohibit training on your inputs. We send only the fields needed to produce the output. Generated content is yours; you can edit, finalize, or discard it before publication to your partner.
5. Audit trail
Every publish action, role change, and bid submission inside your workspace is recorded with actor, timestamp, and a structured diff. You and your partner can review this trail from the Audit tab. It is designed to be defensible to your board and external auditors.
6. Retention
- Active workspaces and project data: retained while the workspace is active.
- Closed projects: retained for 24 months for audit and dispute resolution, then archived or deleted on request.
- Account-level data: retained for the duration of the account plus statutory periods (typically 7 years for financial records).
7. Your rights
You can access, correct, export, or delete your account and project data from your dashboard or by writing to privacy@erphunter.com.
